Connect Cloudbeds with Zentry
A complete guide for hotel teams using Cloudbeds. Connecting Cloudbeds to Zentry lets new reservations automatically create secure digital keys for your guests - no manual data entry, no plastic keycards.
1. Overview
Zentry is a digital key platform for hotels. It replaces plastic keycards with secure, time-bound keys that guests open from a link on their phone - no app download required. The Cloudbeds integration keeps Zentry in sync with your property automatically: every new reservation in Cloudbeds becomes a digital key, every change to a booking updates the key, and every cancellation revokes it.
2. How to sign up for Zentry
- Request access on the Founding Partner page or through our contact form.
- Our team reviews your property and sends an approval email with a secure link to create your Zentry account.
- Complete the short onboarding wizard (property name, address, check-in and check-out times). You'll land on your admin dashboard ready to connect Cloudbeds.
3. How to connect Zentry with Cloudbeds
You'll need to be signed in to Zentry as a Super Admin or Property Admin, and have administrator access to the Cloudbeds account that manages your property.
- In Zentry, open Integrations from the left sidebar.
- Under Property Management Systems, find the Cloudbeds card and click Connect Cloudbeds.
- You'll be redirected to Cloudbeds. Sign in with the Cloudbeds account that manages your property.
- Cloudbeds shows a permissions screen titled "Zentry wants to access". Review the requested permissions and click Allow Access.
- You'll be redirected back to Zentry. The Cloudbeds card now shows Connected, along with your property name and property ID. That's it - no further setup is needed. New reservations will start flowing into Zentry automatically.
What each permission is used for
Every permission Zentry requests is read-only. We never modify, create, or delete anything in your Cloudbeds account.
read:hotel- read your property's basic settings, including check-in and check-out times. These determine when each guest's key activates and expires.read:reservation- receive new bookings, date changes, and cancellations so Zentry can issue, update, or revoke keys automatically.read:guest- read the guest's name and phone number so we can send them the SMS that delivers their key.read:room- match each reservation to the correct room in Zentry so the key opens the right door.
4. What the integration does
- New reservations in Cloudbeds automatically create a digital key in Zentry.
- Date changes (early arrival, late checkout, extended stays) update the key's validity window automatically.
- Cancellations and deletions revoke the key right away.
- Guest contact updates in Cloudbeds - for example, correcting a phone number - flow through to Zentry so the key SMS reaches the right guest.
- Your property's check-in and check-out times in Cloudbeds drive when each key activates and when it expires.
- All traffic is read-only and cryptographically signed. Zentry never writes back to Cloudbeds and never reads payment, rate, or folio data.
5. Limitations
- Each Zentry property (shown as Property in the Integrations page) connects to a single Cloudbeds property. If you manage multiple hotels, create one Zentry property for each.
- Cloudbeds is the source of truth for reservations. Edits should be made in Cloudbeds - Zentry will follow.
- Guest key delivery is by SMS only. Zentry does not email keys.
- Zentry does not read or store payment, rate, or folio information.
6. How to disconnect
From Zentry
- Open Integrations in the Zentry admin sidebar.
- On the Cloudbeds card, click Disconnect and confirm.
Zentry will remove its webhook subscriptions from Cloudbeds and mark the connection as inactive. Keys that were already issued remain valid through each guest's existing check-out time unless an admin revokes them individually. If you only want to pause new syncs temporarily without disconnecting, use Pause syncing on the same card.
From Cloudbeds
You can also disconnect from inside Cloudbeds by following Cloudbeds' official guide for removing an app . Zentry is notified automatically when you do this and marks the connection as inactive on our side.
7. Group accounts
Group accounts are not currently supported. Each Zentry property connects to a single Cloudbeds property. If you operate multiple hotels, create one Zentry property per Cloudbeds property and connect each one separately.

9. Frequently asked questions
A reservation didn't appear in Zentry. What should I check?
First, confirm the booking is for the property connected to Zentry and that it isn't cancelled - cancelled reservations are not imported. Next, check that the room on the reservation matches a room that exists in Zentry; bookings for unmapped rooms won't show up. Reservations normally appear within a few seconds of being created or updated in Cloudbeds. If the booking still isn't visible after a few minutes, open the Cloudbeds card on the Integrations page to confirm the connection is still active, then contact support if needed.
My guest didn't receive the SMS.
The most common cause is a missing or incorrect phone number on the Cloudbeds reservation. Update the guest's number in Cloudbeds; Zentry will receive the update and you can resend the key from the guest's profile.
I changed the check-out time in Cloudbeds. Does the key update?
Yes. Date and time changes flow into Zentry automatically and the key's expiry adjusts accordingly.
I cancelled a reservation. Is the key revoked?
Yes. Cancellations and deletions in Cloudbeds revoke the key right away, so the guest can no longer unlock the door.
What happens if the lock is offline?
Guests can still get in using the backup PIN that Zentry sends alongside the key (on lock models that support PINs). For enterprise Bluetooth locks, the key works without an internet connection as long as the guest's phone has Bluetooth turned on.
